Email Update

The migration from Novell eDirectory and GroupWise to Microsoft Active Directory and Exchange is underway, and it is going well.

One of the most frequent requests that we receive in the Department is for email addresses that bear a greater resemblance to peoples’ names.

Reasons vary. Often, we hear that having a standard email address makes it easier to share with parents, colleagues in other districts, and community members. You may be aware that the application of the MISD naming convention for GroupWise addresses to some names can result in the creation of professionally awkward combinations of letters and sounds.

Fortunately, that’s about to change.

As part of this migration, new addresses in the District will be added that conform to an improved naming convention:

firstnamelastname@misdmail.org

Here are some thoughts to keep in mind:

  • Your existing mail and calendar items will be moved to your new account.
  • Mail sent to your old Mansfield ISD email address will forward to your new one for a minimum of six months.
  • For those staff members who have business cards with existing email addresses, you have the option of using them during the transition period.
  • This is a good time to begin a list of locations where your district email address will need to be updated. Once you have your new login information, you can begin to update your address in those locations.
  • Again, we’re planning on a six month transition period so that you’ll have plenty of time to make those updates.
  • We’re working on training arrangements for teachers and staff members. Because so many MISD staff members maintain two or more email accounts already . . . and because many staff members have used Microsoft Outlook in other settings . . . you may be surprised how easy the transition will be for you.

Here are some things that you may like about these changes:

1. You will have one sign-on for many of the programs used in the District. Eduphoria, Infinite Campus, and Moodle, for example, will be accessible using this common login.

2. You will be able to use that same username and password to log into the wireless system throughout the District using an MISD laptop.

3. Exchange works reliably with many smartphones . . . including all of the calendar functions.

4. When you click on an email link on many web pages, Outlook will open and begin an email for you.

5. Over time, District email service will be more reliable.

There are a few of us who have “name twins” in the district. Do you know how you will handle those situations?

    July 14, 2010
    • Mrs. Watson, thanks for the great question. We have encountered those situations, and in those cases a middle initial or middle name has been added. This appears to have resolved all of those potential conflicts. Please email me about your specific situation so that I can make sure that we have it covered for you.

What if we go by our middle name? Can we request to have that name used with our last name?

    July 14, 2010
    • Yes. The migration team has caught quite a few of those situations, including yours, as they’ve worked through the list of users. 🙂

For those who have 2-word 1st names, will the entire 1st name be included?

Thanks for the updates. I use the information for planning my classes for next year. Waiting to hear news on Summit H.S. installations.

    July 16, 2010
    • Summit High School is scheduled for completion prior to the beginning of school. There are several Phase I schools that need electrical upgrades to support the new equipment, but Summit is not one of them. The crews installing the Promethean boards are working in the elementary schools while the team that is installing the projectors works on the 5-12 campuses in Phase I. Walk-throughs have started for Phase II schools. MHS is complete, and THS is scheduled.

Just curious. My legal name is Jeremiah, but I have gone by Jeremy my entire life. Is there any way that my “nickname” can be used?

    July 16, 2010
    • Because this is a form of your legal name, we’re hoping to be able to accommodate that request.

  7. Thank you MISDtechnotes! Thank you for all of the things you do that no one sees!

    • Thank you! Members of the Technology Development Campus Support, Network, Instructional, and Leadership Teams are working hard this summer to ensure that MISD staff members and students have a great experience with technology during the 2010-2011 school year. We appreciate your support.

How will it work for those staff members that have a hyphen between their 2 last names? Ex: Lisa J. Smith-Gonzales
Will the email name be both names (all one word, ex smithgonzales) or will they use a hyphen or will they just use one of the last names? Thanks so much!

    July 27, 2010
    • Great question! There is a 20 character limit on usernames. LisaSmithGonzales is less than 20 characters, so it fits. Here’s a fictitious example of an especially long name: StephanieRobinsonCartwright. In this case, the user name is shortened to StephanieCartwright. Although we try to keep the username and the email address the same, email addresses can be longer. In this case, the username can be StephanieCartwright (19 characters) and the email address can be StephanieRobinsonCartwright@misdmail.org.

My legal name is Mary Martha Nichols but I go by my middle name so I would like my new e-mail to read Martha Nichols instead of Mary Nichols. Thanks!

    July 28, 2010
    • It is listed as you’d requested. If anyone runs into any issues with problems like these, we will help to resolve them.

I’m new to the district, and can use the new email just fine. I’m just wondering how do I get into the Novell? I’m trying to print, or get onto the network, and can’t…any suggestions…
